Privacy Policy

This Privacy Policy explains how YCH Assistant collects, uses, stores and protects information when authorized users use YCH Assistant and its connected services, including Google Calendar.

1. Information YCH Assistant may process

Depending on the features used, YCH Assistant may process account and profile information, client and prospect records entered into YCH, tasks, follow-up information, appointment information, activity records and other information needed to provide the service.

2. Google account and Google Calendar data

Google Calendar connection is optional. When a user chooses to connect Google Calendar and grants permission through Google's authorization flow, YCH Assistant may receive and process:

  • the Google account email address and account identifier used for the connection;
  • Google OAuth authorization credentials needed to maintain the connection;
  • calendar list information such as calendar name, time zone and access role;
  • calendar event information such as title, description, location, start and end time, all-day status, attendees, organizer, reminders, recurrence information, conference information and event status; and
  • technical synchronization information needed to keep the connected calendar current.

3. How Google Calendar data is used

YCH Assistant uses Google Calendar data only to provide user-facing scheduling and productivity features. These may include showing an authorized user their schedule, checking availability, helping avoid appointment conflicts, synchronizing calendar changes and creating, updating or deleting events when requested by the user.

For authorized scheduling workflows involving another agent, YCH is designed to use busy or available time information without exposing that agent's private event title, description, location, attendee list or other private event details.

4. AI-assisted features

When a user asks YCH Assistant to perform a feature that requires calendar information, relevant information may be processed by the AI service used to provide that requested assistant feature. YCH does not use Google Workspace data to train or improve a general-purpose artificial intelligence model.

5. Human access

YCH personnel do not normally read a user's private Google Calendar event details. Human access to Google-derived user data is limited to circumstances permitted by applicable Google policies, such as when the user has explicitly agreed to access to specific data, when access is necessary to investigate security or abuse, or when required by law.

6. Sharing and transfers

YCH Assistant does not sell Google user data and does not use Google user data for advertising, retargeting or data-broker purposes. Information may be processed by service providers only where reasonably necessary to operate a user-facing YCH feature, maintain the service, protect security or comply with law.

7. Storage and security

YCH uses access controls and encrypted network connections to protect information. Google authorization credentials are stored in protected form and are used only to maintain the user's authorized Google Calendar connection and provide the requested integration.

8. Disconnecting Google Calendar

A user may disconnect Google Calendar from YCH Assistant. Disconnecting stops future authorized access through the stored connection and YCH revokes or removes the stored Google authorization credentials used for that connection. Previously synchronized records may be retained where reasonably necessary for service continuity, security, audit or legal purposes. YCH does not intentionally maintain permanent copies of Google Calendar data beyond what is reasonably necessary for the permitted user-facing purpose.

9. Data deletion requests

Users may request deletion of Google-derived data held by YCH. YCH will honor valid deletion requests except to the extent retention is required for security, fraud prevention, legal or regulatory obligations. 10. Google API Limited Use

YCH Assistant's use of information obtained through Google Workspace APIs is limited to providing the authorized user-facing features described in this policy and follows Google's applicable user data and Limited Use requirements.

11. Data belonging to different agents

YCH maintains agent-specific access controls. Client, prospect and connected account information belonging to one agent is not intended to be made available to another agent unless an authorized reassignment, shared-access or other permitted workflow applies.

12. Changes to this policy

We may update this Privacy Policy when YCH Assistant's features or data practices change. The effective date above will be updated when material changes are published.
